The Role

As Office Manager, you will take charge of the operational management of the association and serve as the linchpin in its daily operations.

Your tasks are highly diverse:

  • Event Management: You take on the end-to-end organization of briefings, conferences, B2B meetings, and networking receptions, including logistics, VIP support, and on-site coordination both nationally and internationally.
  • Member Engagement: You are the point of contact for members, handle onboarding, and ensure proactive, personalized follow-up on their questions and needs.
  • Communication & Translations: You fluently write and translate (EN-FR-NL) newsletters and external communications, manage the website and LinkedIn, and create visuals in Canva.
  • Administration & Data Management: You are responsible for basic invoicing, managing registration tools and payments, and ensuring flawless CRM management with strict adherence to privacy by design and compliance.
  • Executive Support: You act as Personal Assistant (PA) to the Secretary-General, including diary management, correspondence, and meeting preparation.
  • Stakeholder Management: You maintain high-level contacts with profiles from the corporate and public sectors (such as Defense, Police, and CEOs) and represent the association.

The profile we are looking for

  • Language Skills: You have a native or full professional proficiency in both Dutch and French. Additionally, you have a strong command of English, enabling you to communicate and write effectively in all three languages.
  • You are a proven expert in event management, project management, communication, and stakeholder management.
  • You handle confidential information with the utmost discretion and have an excellent sense of diplomacy and protocol.
  • You possess strong crisis preparedness, are flexible, and are willing to be available 24/7 during events or crisis situations.
  • You have advanced knowledge of IT tools such as MS 365, Eventbrite, Filemaker, Mailjet, Canva, and LinkedIn.
  • You work autonomously, take the lead where necessary, and continuously guarantee process quality and continuity.
