Our client is an international law firm located in Brussels Center (porte de Namur area).

The role:
  • Front of House & Visitor Support: Receiving visitors and deliveries, managing incoming mail and physical correspondence, handling packages and ensuring safe storage, acting as the in office point of contact for staff and external parties
  • Meeting Room & Event Support: Checking and preparing meeting rooms, coordinating in office meetings (including food orders when required), ensuring AV equipment and rooms are ready for use
  • Office Walkthroughs & Space Upkeep: Inspection of shared areas (kitchen, meeting rooms, open floor space), tidying and maintaining common areas, checking printers, replacing toner, and stocking paper, ensuring the workspace is clean, organised, and presentable
  • Office Supplies & Equipment: Checking physical inventory (stationery, kitchen supplies, consumables), restocking supplies, maintaining kitchen equipment (coffee machine, kettle, water filters), managing physical storage areas and filing
  • Facilities & Maintenance Coordination: Identifying issues within the office (repairs, faults, cleaning needs), meeting and supervising contractors, cleaners, and the building handyman, liaising with building management on-site, monitoring cleaning standards and schedules
  • Health & Safety Compliance: Maintaining fire safety logbooks and equipment checks, ensuring emergency exits and safety equipment are in place, supporting fire drills and in office safety procedures, checking first aid supplies and safety signage
  • In Person Staff Support: Assisting staff with physical admin tasks (printing, binding, organising files), supporting ad hoc requests that require handling physical materials, providing on site operational support to the Brussels team
Your profile
  • hands-on approach
  • fluent in English and French
  • experience in handling office management related duties as described above
  • experience in working in an office environment
  • proficient in MS Office tools
The offer:
  • temporary contract starting asap till end of 2026
  • part-time: 10 hours spread over 3 days
  • on-site presence is mandatory given the nature of the job
  • you'll become part of a small and very international team
  • this role is open to candidates looking to work either as an employee or as a freelancer
